Business Reconsiders SaaS Costs and Looks Back to Microsoft Access

A growing concern for many organizations is the rising long-term cost of cloud-based software subscriptions. While Software-as-a-Service platforms can be useful, they are not always the best fit for every business, especially when annual costs continue to increase and the organization already has a proven custom system that once supported its operations.

Database design and custom software modernization
For some organizations, modernizing an existing custom database can be more practical than absorbing rising SaaS costs.

A Former Client Looks Back to Access

Winning Solutions, Inc. was recently contacted by a former Microsoft Access client who moved to a cloud-based enterprise software system in 2022. After several years on the new platform, the organization has decided it makes sense to come back to Microsoft Access instead of continuing to absorb significantly increasing annual software costs.

The client specifically asked WSI about the possibility of "upgrading our old system" and whether WSI would be interested in discussing the project. This is a familiar situation for many businesses. A company may move away from a custom Access database because a cloud system appears to offer a modern, all-in-one solution. Over time, however, the organization may discover that the new system is more expensive, less flexible, or not as closely aligned with the way the business actually works.

Microsoft Access remains a practical and cost-effective option for many organizations, especially when paired with the right design, modernization, and support. An older Access application does not always need to be abandoned. In many cases, it can be reviewed, upgraded, split properly, connected to SQL Server or Azure SQL Server, improved for reliability, and enhanced with new features.

Modernization Starts with the Right Review

WSI has extensive experience helping organizations evaluate existing Access databases and determine whether upgrading, modernizing, converting, or rebuilding the system is the best path forward.

The right answer depends on the condition of the current database, the number of users, reporting needs, security requirements, remote-access requirements, integration needs, and the organization's long-term goals.

Upgrade Access

Review the existing database, correct structural issues, improve reliability, and add needed functionality.

Connect to SQL Server

Split the application properly and connect the data layer to SQL Server or Azure SQL Server when appropriate.

Plan the Future

Compare Access, SQL Server, Azure, .NET, web applications, and other options against real business needs.

This recent win back is a useful reminder that newer software is not automatically better software. A subscription-based enterprise system may look attractive at first, but if the annual cost keeps rising and the system does not provide enough value, it may be worth revisiting a custom solution that the organization already owns and understands.

WSI helps businesses make that decision carefully. The company can review an existing Access database, identify risks, recommend improvements, estimate upgrade options, and help determine whether Access, SQL Server, Azure SQL Server, .NET, a web application, or another technology path makes the most sense.

Reconsidering Software Subscription Costs?

For organizations struggling with rising software subscription costs, an upgraded custom system may provide a more practical, flexible, and affordable long-term solution. WSI can help determine whether your old system still has life left in it and whether modernization could give your organization better control over its software future.
